HOW TO ORGANISE A WEDDING - A JUMPSTART TO PLANNING YOUR DAY

This is a simple list of things to consider and a guide on what to do and when to do it based on my experience with clients over the years.

Firstly, you’re engaged! Enjoy the celebrations and really bask in the fun of throwing around ideas and chat about traditions you love and how you’d like to do things differently that speak to your day.

Once you’re ready to start getting into the details of planning your day, these are a few things to think about - in a rough timeline that I’ve found has worked best for clients.

Don’t feel overwhelmed, I’ve added more than less so you can think about what’s important to the two of you.

  1. Budget - I suggest making way for a 20% wiggle room to avoid potential financial stress later.

  2. First draft of your guest list.

  3. Write a list of what’s important to you - an important step so you can go back to it as a compass when decision making gets overwhelming

  4. Think of the theme and feel you’re after and look at inspiration in magazines / wedding websites.

  5. Research and choose a venue and secure your date. Ask about their wet weather plan if you’re having an outdoor wedding, this may eliminate some venues for you.

  6. Decide on a Wedding Planner / Stylist according to #3

  7. Book your Photographer and/or Videographer now that you have a date.
    I’ve had clients book their venues around my availability so it’s always good to think about the vendors you want as part of your team on the day.

  8. List of what to buy / hire / DIY working with your theme: dresses, suits, entertainment (nothing beats live music at a wedding) car hire, details to make your day special, and start the process of purchasing the necessities eg rings.

  9. Have you hired a celebrant? Do you need caterers? Florists? Hair and make up artists? Have a look in magazines and wedding websites and speak to family and friends who’s wedding style you liked. Having shot over 100 weddings I have seen so many beautiful designs and worked with other incredible vendors so will always have a recommendation or two for you to consider.

  10. Are you a spreadsheet person? This is foreign to me so if you’re the same, have your favourite Type A bestie help - include a guest list / RSVP list as well as all the things that need to be ticked off as per #8

  11. Start any DIY projects sooner than later!

  12. Look back on your OG guest list and see if any changes need to be made

  13. Organise your honeymoon - plan and book your ideal getaway to look forward post wedding bliss.

  14. Save the Date invites - sustainable option to send via email or old school love notes sent to guests

  15. Get in touch with vendors to ensure you’re on the same page and get a timeline of how long they need for their parts on the day

  16. Post invitations (generally 3 months before the wedding day) and add RSVPs to spreadsheet. Include a tab for any dietary requirements)

  17. Fittings and adjustments - ensure the fit of your gown / suit is perfect for both aesthetic and ease of movement. Speaking of, do you need to wear in your shoes? This could be a game changer move that your feet will thank you for on the big day.

  18. Finalise menu and seating and let venue / caterers know of any dietary requirements. Allocate meals for your team of vendors.

  19. As your date approaches, check and see if you need to delegate any tasks to family, friends and your wedding coordinator. Another game changer so you can enjoy the day fully. I suggest giving someone a list of the formal family photos needed so they can herd people as necessary.

  20. A final run sheet (no more than a page if possible) to send to all vendors. I have a sample I get clients to fill out 4-6 weeks before the wedding with times and emergency contacts on the day (so you don’t need to be answering your phone).

  21. Create time to relax and enjoy the lead up to the big day. Have a little adventure together, perhaps even book yourself a romantic lil getaway / stay at a funky hotel in town and enjoy each other before the big do! You could use this time to write your vows too!
